PR Agency vs Publicist vs Press Release Service: Which You Need

"PR" covers at least four different products. People buy the wrong one constantly, usually because they asked for PR and got sold whatever the person they asked happens to sell.

Here is what each one actually is.

PR agency

A PR agency runs an ongoing communications programme for you. Strategy, messaging, media relationships, pitching, crisis handling, sometimes analyst and investor relations.

How it works: a monthly retainer. You get a team, a plan, and continuous activity rather than a deliverable.

What you actually buy: effort and expertise applied over time. Traditional agencies do not guarantee placements, because they cannot. What they guarantee is the work.

Typical cost: thousands per month, often with a minimum commitment of six or twelve months.

Right for: funded companies, established businesses with ongoing news, anybody who needs a communications function rather than an article.

Wrong for: a small business that wants three articles. You will spend a great deal and possibly get nothing published, which is not the agency failing, it is the model.

Publicist

A publicist works media relationships on behalf of a person or a small number of clients. Closer to an individual than a firm, often specialised in one world: entertainment, hospitality, books, music.

How it works: a retainer, usually smaller than an agency's, sometimes project-based.

What you actually buy: their relationships. A good publicist can get a journalist to read an email, which is a real and scarce asset.

Typical cost: less than an agency, more than a service. Varies enormously with reputation.

Right for: individuals with a public profile, people in industries that run on relationships, anybody who needs someone advocating for them personally.

Wrong for: B2B companies with no news. Relationships cannot manufacture a story that does not exist.

Press release service

A press release service distributes an announcement to a network of outlets and databases. Wire services are the established version of this.

How it works: you write a release, pay a fee, it goes out. Many recipient sites republish automatically.

What you actually buy: distribution, not coverage. Your release lands in a lot of places, most of which are automated republication rather than editorial pickup.

Typical cost: low hundreds per release.

Right for: genuine announcements that need to be on the record. Funding rounds, regulatory disclosures, corporate news.

Wrong for: credibility. A wire release republished across a hundred low-traffic sites is not press coverage, and it is regularly sold as though it were. If somebody offers you "100+ media placements" for a low flat fee, this is what they mean.

Placement service

A placement service secures a specific article on a specific publication. This is the newest of the four and the one this site sells, so treat what follows accordingly.

How it works: you choose the publications, the article gets written to your brief, you approve it, and it is placed. Fixed scope, known timeline.

What you actually buy: certainty. You know which publication and roughly when.

What you are not buying: a journalist independently deciding to write about you. That is the honest boundary, and any placement provider blurring it is doing you harm.

Right for: businesses that need specific, permanent articles on named publications without a monthly commitment.

Wrong for: anybody who needs ongoing communications, crisis handling or genuine editorial validation.

How to pick

You have real news and a budget. PR agency. Nothing else uses genuine news as well.

You are a person, not a company, in a relationship-driven industry. Publicist.

You have a formal announcement to put on the record. Press release service, and be clear with yourself that distribution is what you are buying.

You want specific articles on named publications, on a schedule, without a retainer. Placement service.

You have no budget and some time. None of the above. Make yourself a useful source and answer journalist requests fast. It is slower and it works.

The mismatch that wastes the most money

Buying a press release service and expecting coverage.

It is the cheapest option, the numbers sound enormous, and the output is almost entirely automated republication on sites nobody reads. People conclude PR does not work, when what actually happened is they bought distribution and expected editorial.

The second most expensive mistake is the opposite: a small business signing a twelve-month agency retainer, having no news to work with, and paying for a year of effort that had nothing to work on.

Questions that identify what you are being sold

  • "Is this a retainer or a fixed scope?" Agency and publicist are retainers. Services are fixed.
  • "Are you guaranteeing publication, or effort?" Agencies guarantee effort. Services guarantee publication.
  • "Which specific publications, by name?" Anybody who cannot name them is selling distribution.
  • "Is this newsroom coverage or a placed article?" The question that matters most, whoever you are talking to.

Work out which one you actually need before you talk to anybody, because otherwise you will be sold whichever one the person in front of you happens to sell.
